The Challenge
The handoff from sales to delivery is one of the most error-prone stages of any consultancy engagement. Delivery teams spent the first days of each engagement chasing data that should already be available, and clients experienced a gap between signing and receiving any tangible output. In parallel, meeting transcriptions from discovery calls and project reviews contained actionable commitments and decisions, but extracting and acting on that information manually was slow and inconsistent, and items were regularly missed.
The Solution
We built two integrated systems: an onboarding pipeline that activates the moment a project transitions from sales to delivery, and a meeting intelligence function that processes call transcriptions throughout the engagement lifecycle. Together they eliminate the administrative overhead that typically consumes the early stages of an engagement and keep the client portal current without manual effort from the delivery team.
Our Approach
- Project import from the sales board triggers the onboarding workflow automatically, no manual notification required
- Automated client data gathering removes the need for staff to chase or collate responses
- Data sanitisation validates and formats all incoming information before it is used as tooling input
- Multiple tooling layers run in parallel; an AI model synthesises outputs into a coherent, prioritised picture for the delivery team
- Initial report generated and published to the client portal before the first formal project meeting
- Meeting transcriptions processed continuously to update the portal and surface action points with clear ownership
